How to import contacts from a CSV file
In VODOO CRM, open Contacts, click “Import” and drop your CSV file. The wizard has you check the column mapping (first name, last name, email, phone, company, source, tags), shows a preview of the first 10 rows, then imports. Exports from HubSpot, Pipedrive, Salesforce and Zoho are recognized and land in the right fields in one click.
Before you start
- A CSV file with a header row (the name of each column).
- Phone numbers in international format (+1…) if you plan to send texts.
- In the tags column, several values separated by a semicolon, a comma or a vertical bar.
- Room in your plan: 500 contacts on Basic, 5,000 on Standard, 50,000 on Pro and Agency.
Steps
- 1
Open the import wizard
In the sidebar, open Contacts, click “Import”, then drop your CSV file into the window or browse your folders.
- 2
Check the column mapping
Each column of your file is linked to a VODOO CRM field: first name, last name, email, phone, company, source or tags. If your file comes from HubSpot, Pipedrive, Salesforce or Zoho, pick it under “CRM preset” to link everything in one click, then adjust if needed.
- 3
Check the preview
The preview shows the first 10 rows as they will be imported, and how many contacts are ready. Fully empty rows are skipped.
- 4
Declare consent, if you have it
Tick the consent box only if these contacts agreed to receive your marketing messages. The date and origin of that consent are then saved on each record.
- 5
Import and read the result
Click “Import”. The result separates the contacts created, those already there (completed with the new details) and the rejected rows, with the reason for each: fix them in your file and import them again.
Good to know
- Tag your contacts as you import them (customer, prospect, trade show…): your campaigns and workflow conditions rely on those tags.
- An email already in your base does not create a duplicate: the existing record is completed.
- You can export your whole base as CSV at any time from the Contacts page.
Plans
Every plan. The number of contacts depends on the plan: 500 on Basic, 5,000 on Standard, 50,000 on Pro and Agency. See pricing

Which fields can I import?
First name, last name, email, phone, company, source and tags. Any other column in your file can be left out during the mapping.
What happens if a contact already exists?
A contact whose email is already in your base is not created twice: their record is completed, and they appear under “Already there” in the import result.
Why are some rows rejected?
The result gives the reason for each rejected row, such as an invalid email. Fix those rows in your file, then import them again: contacts already created will not be duplicated.
Should I tick the consent box?
Only if these contacts really agreed to your marketing messages. Otherwise, leave it unticked. Unsubscribes (link in the email, STOP by text) are saved on each record and respected by every send.
